Influencer Outreach List Template

An influencer outreach list needs one row per creator with their handle, contact details, a status, the date you last messaged them and when a follow-up is due. Download the free template below and import it into Google Sheets or Excel.

Preview and copy

Set your follow-up gap, check the preview, then download the CSV or copy it into cell A1 of a blank Google Sheet. Follow-up due and Action today are real formulas.

Your setup

The example row is made-up placeholder data.Follow-up gap is an editable assumption

A starting point, not a benchmark. Using 5 days.

Optional columns
Niche, followers, where you found them
Address received?, Gift sent?

First rows of 50. Follow-up due is the last contacted date plus 5 days.

How to use the statuses

One status per creator, updated after every message. This is a suggested workflow, so rename or drop statuses to fit how you work. The Action today column only looks at Contacted and Follow-up sent: it says Follow up once the due date has passed, and Wait before that.

Turn the Status column into a dropdown

  1. Select the Status column.

Click the column letter, or select the cells below the header.

  2. Insert a dropdown.

In Google Sheets use Insert, then Dropdown, and add one item per status. Use the copy button above to get the list.

  3. Colour the items if you like.

Each dropdown item can have its own colour, which makes the sheet easier to scan.

Need the words for the first message? Use the outreach message generator or the DM scripts. When a creator reaches Gift sent, move them to the tracking spreadsheet.

Frequently asked questions

How do I organise influencer outreach?

Keep one row per creator with their handle, contact details, a status, the date you last messaged them and the date a follow-up is due. Update the status after every message. Filter by status to see who needs a follow-up today, and move creators to your tracking sheet once a gift ships.

How many times should I follow up with an influencer?

There is no proven number. We use one follow-up as a starting assumption, and you can change the gap in days above. Pick a rule, apply it to every creator, and note how many replies come after the follow-up. That tells you whether sending it is worth your time.

Is this different from the influencer tracking spreadsheet?

Yes. This sheet covers the step before a gift ships: who you have messaged and what happens next. The tracking spreadsheet starts once a creator agrees, and records the gift's cost, delivery, posts and revenue. Move a creator across when their status becomes Gift sent.

Can I use this outside Google Sheets?

Yes. The download is a plain CSV, so Excel opens it directly and most spreadsheet or CRM tools can import it. The follow-up columns are standard spreadsheet formulas. If a tool does not support formulas, the columns still work as plain headings that you fill in by hand.

Methodology and sources

The sheet is generated in your browser from the options you choose. There is no data behind it: the example row is made-up, the statuses are a suggested workflow, and the follow-up gap is an editable assumption, not a benchmark.

follow-up due = last contacted date + follow-up gap (days)

action today = if status is Contacted or Follow-up sent: Follow up when due date ≤ today, otherwise Wait

status counts = COUNTIF over the Status column, one row per status

We could not verify how every spreadsheet app treats CSV formulas and ISO dates on import. Check that the due dates calculate after you import, and use the copy-and-paste button if they did not.
