Step 1. Bring your creators

This is the part most agencies skip past and it is the one we are strict about: we work from the list you already have. The names saved in an Instagram collection, a Notes list, a spreadsheet, or the DMs you have already started. We do not go hunting for strangers and we do not run cold outreach. If you do not have a list yet, the cheapest place to start is your own customers, people already buying who already post.

Step 2. Vetting, by hand

This is the question every brand asks and almost no agency answers honestly: how do you know a creator is worth sending product to before you send it? We do not run a public numeric score. A person looks at the account.

  • Is the engagement real, or bought? Comments read like people, not a pod trading the same four emojis.
  • Has the posting cadence gone quiet, or is this an account that still shows up?
  • Does the audience actually match what you sell?
  • Has this creator posted for a brand before, and did that post look forced?
  • Did they take a gift once and go quiet? That history rules them out.
  • Would you want your product sitting next to this feed at all?

Nobody gets product until this has been checked. Every verdict is stored, so months later it is still possible to answer “why did we skip her?” with a record instead of a memory.

Step 3. Follow-ups, not cold outreach

Once a creator is vetted, the follow-ups run on their own. Automatic emails cover every stage: invite, order placed, shipped, delivered, a post reminder, thank you. Instagram DMs go out from your own account, through Meta's official API, not a bot and not a browser hack, rolling out account by account. These continue conversations you already have with the creator. It is not cold DMing, and we are not messaging anyone you have not already brought to the list.

Step 4. From yes to order, in one link

Every yes goes to one branded link. The creator picks their own product and variant from your live stock and types their own address. A $0 draft order lands in your Shopify admin, tagged to the campaign it came from.

Four things about that link do more work than they look like they do.

  • Live stock, mirrored from your storefront. Shopify's admin will happily report a variant as available when it is only available in a warehouse the storefront cannot sell from. Reading the storefront instead is the difference between promising a colour and having to un-promise it three days later.
  • The creator types their own address. No address copied out of a DM thread, no transposed house number, no reship.
  • The Instagram handle is captured on the form. That is what makes it possible later to match a post to a parcel without a spreadsheet.
  • It is a real order, not a code. Codes leak, get shared, and make a gift feel like a discount. A native $0 order flows through your existing fulfilment, tracking and delivery stack with nothing to reconfigure.

Step 5. The approval gate

Nothing ships on our judgement. Every request waits in a queue until you approve it. Decline it and nothing happens: no parcel, no follow-up, nothing.

The reasons brands decline are consistent: wrong fit however good the numbers looked, stock being held back for a launch, or a feed you do not want your product sitting next to. All three are valid, and all three are your call, not ours.

Speed matters as much as the decision. A gate that takes three days is not a gate, it is a queue, and creators go cold in it.

Step 6. Ship, track, and the follow-up clock

Approved orders get shipped and tracked, and shipping and delivery statuses come back into the system on their own. That matters for one reason: the follow-up clock starts when the parcel is delivered, not when it is shipped. Asking a creator about content before the box has landed is how a programme burns goodwill it spent three weeks earning.

Step 7. Track every post

This is the Results tab, and it runs on its own. Seed finds a creator's posts automatically on Instagram and TikTok, checked daily for the first 14 days after delivery, then twice a week to day 60. You see who posted, views, likes and comments, posting rate, and cost per 1,000 views, plus a weekly summary by email and a CSV export. A creator can also submit their link directly. Posts that only mention the brand by name, with no @ or tag, get flagged for a one-click confirm rather than counted automatically.

Two honest limits: Instagram Stories are not tracked, because they expire before a check can run. YouTube links are detected, but there are no view numbers behind them. Once a video is in, Brief Check can score it against your brief on disclosure, brand mentions, product time on screen, hook and length, in under two minutes.

You send free product to a creator. They might post. They might love it and post twice. They might go quiet. That is how gifting works, and any agency telling you they can guarantee posts or guaranteed revenue from gifted product is guessing at best.

On our own store, Dr Water, a Shopify hydrogen water brand doing about $2M a year, this method produced 224 real $0 gift orders over about 113 days (May 19 to September 9, 2026). 91.6% of gift requests were approved (197 of 215), and the median request sat in the approval queue for 40 minutes before a decision.
