A creator says they finished the form, but you can't find the order. Work through these in order. Almost every case lands on one of the first three.

1. Check the app's pending queue first

Several situations hold a submission instead of creating the order immediately, all of which show the creator a success message so they think they're done:

  • The campaign requires approval.
  • The same email (or, on a per-creator link, the same link) already submitted once, a possible duplicate.
  • Your shop was over its plan's order limit at the moment they submitted, see plans and limits.
  • The draft order was created but Shopify's completion step failed.

In every one of these, the submission is sitting in Seed's pending queue waiting for you, not lost. Check there before assuming anything went wrong.

2. Check the campaign is active and had product/collection data

If the campaign was paused, deleted, or hit its own order cap between when you shared the link and when the creator opened it, the creator would have seen an "unavailable" card instead of a working form. They'd usually mention that rather than saying they submitted. Confirm with them which screen they actually saw.

3. Search Shopify orders by tag, not just the order list

Every gift order carries the tag seed-gift plus a tag for its campaign slug. Search your Shopify admin's orders for tag:seed-gift. A $0 order can be easy to miss when scrolling a list sorted by value or scanning for a normal-looking total.

4. Ask the creator to check their email, not just tell you it worked

A creator who saw a confirmation email is very likely genuinely done. Ask them to forward it or screenshot the subject line. If they never got a confirmation email and aren't sure the submit actually completed, they may have hit a submit error and not noticed, see creator says the form errored.

5. It's a corporate/organisation campaign

A corporate gifting range (a fixed batch of codes bought upfront) works differently from a regular campaign and isn't covered by this article, if that's what the creator was using, check your corporate gifting dashboard instead of the regular Gift Orders tab.
