# Gift orders Source: https://www.seedinfluencers.com/help/gift-orders Updated: 2026-09-24 The Gift orders tab: approving pending requests, the full order ledger, and the Costs tab. Gift orders is the full ledger of every gift a creator has requested from any of your campaigns: what's waiting on your approval, what's already a real Shopify order, and what gifting has cost you. It has three tabs. Pending, Gift orders, and Costs. ## Stat boxes **1. Date range** A dropdown: **Last 1 day** , **Last 7 days** , **Last 15 days** , **Last 30 days** , or **Lifetime** , that sets the window for the four stat boxes below and for the Costs tab. Gift orders is the one screen with a **Lifetime** option, since it's your full ledger. It doesn't filter the Pending or Gift orders tables themselves. Those have their own Campaign/Product filters. Default: Last 30 days **2. Gift orders placed** Gift requests created in the window, whether still pending or already approved. Default: 0 **3. Gift orders approved** Of those, how many became a real order (turned into a $0 Shopify draft order) within the window. Default: 0 **4. In transit** Approved orders that have shipped but aren't marked delivered yet. Default: 0 **5. Delivered** Orders marked delivered within the window. Default: 0 ## Pending tab Gift requests waiting on you. Either because your campaign requires approval before an order is placed, or because Seed held the request for review. Nothing ships until you approve it. **6. Campaign filter** Narrows the queue to one campaign. Default: All campaigns **7. Product filter** Narrows the queue to requests that include a specific product. The list of products offered depends on the campaign filter above. Default: All products **8. Created** When the creator submitted the request. **9. Campaign** Which campaign the request came from. **10. Creator** The creator's Instagram handle if they gave one, otherwise their email. **11. Products requested** The product(s) and variant(s) the creator picked. **12. Reason** Why the request needs your review: a **Needs approval** badge means your campaign is set to require approval for every order. A **Double order** badge means the shipping address already received a gift order recently. Seed held it in case it's a repeat request from the same person under a different name. The double-order hold only applies to your public campaign link (a per-creator link is already single-use) and can be turned off per shop in your protections settings. **13. Approve / Reject** **Approve** creates the real $0 Shopify draft order and moves the row to the Gift orders tab. **Reject** discards the request. No order is created and the creator isn't notified automatically. When the queue is empty it reads _"No items in this queue, nothing to do."_ When a campaign/product filter matches nothing it reads _"No requests match these filters."_ > **Tip:** Approving can fail, for example if the product just went out of stock, or your plan's monthly order limit is reached. The request stays in Pending and you'll see why in an error message. ## Gift orders tab Every gift order that has become a real Shopify order, newest first. **14. Search** Filters by creator, email, or campaign name as you type. Default: Empty **15. Status filter** **Ordered** , **Shipped** , or **Posted** . An order counts as Shipped once Shopify marks it fulfilled or a carrier status has come in, and as Posted once it has a post link attached, see [how post tracking works](https://www.seedinfluencers.com/help/how-post-tracking-works) . Default: All statuses **16. Campaign filter** Narrows the list to one campaign. Default: All campaigns **17. Product filter** Narrows the list to orders that include a specific product. Default: All products **18. Refresh delivery status** Pulls the current fulfillment and carrier delivery status from Shopify for every gift order on this shop, right now. Useful for orders that were fulfilled or delivered before Seed's automatic sync caught up. Shows a banner afterward. _"Synced N orders from Shopify, updated N."_ **19. Export CSV** Downloads every gift order as a CSV: date, campaign, creator name/email/phone, Instagram (and TikTok, on the plans that support it) handle, any custom form field answers, products, quantity, fulfillment status, shipment status, tracking number, post link, Shopify order and gift-link IDs, and terms/consent timestamps. Only shown once you have at least one order. ### Table columns **20. Influencer** Name, a button that opens their Instagram profile (if they gave a handle), and their email. Click the email to copy it. **21. Campaign** The campaign the order came from, as a colored chip. **22. Products** A thumbnail of the first product (hover any row for the full list); a "+N" badge if there's more than one. **23. Instagram** The creator's handle, click to copy. **24. Date** When the order was created. **25. Status** Two badges can appear: a fulfillment badge (Shopify's own **fulfilled** / **unfulfilled** flag) and, once a carrier update has come in, a shipment badge such as **in transit** , **out for delivery** , or **delivered** . **26. Post** **View Post ↗** once a post link is on file, otherwise _"No post yet."_ **27. Consent** An **Agreed** badge once the creator has accepted your campaign's terms; otherwise blank. **28. Gift again** Opens the Regift window to send this same creator another gift. Only shown on plans that include re-gifting. When you have no gift orders yet it reads _"No gift orders yet. Gift orders will appear here once creators submit the form or you approve a request."_ When your search/status filter matches nothing it reads _"No orders match that search. Try a different search term or clear the status filter."_ ## Order detail panel Click any row on the Gift orders tab to open its full detail. **29. Status and submitted time** When the request was submitted, and the same status badge shown in the table. **30. Regift** Opens the same Regift window as the **Gift again** button. **31. Set up recurring gift** Opens a small form to repeat this gift automatically every **30 days** , **60 days** , or **90 days** . Confirming records the schedule; it doesn't send anything immediately. **32. Products** Every product/variant and quantity on this order, with a total item count. **33. Shipping address** Address, city, and ZIP/postal code, each saved automatically when you click away. A warning banner shows if any of the three is blank. Default: Editable **34. Contact and Social** The creator's email (opens your mail app) and Instagram profile link. **35. Form responses** Any custom question answers from your campaign's form, plus whether the creator opted into your newsletter and accepted your terms and conditions. **36. Shopify IDs** Links to the real order and (if one exists) the original draft order in your Shopify admin. **37. Costs** **COGS ($)** and **Shipping ($)** . Override what this specific gift cost you, saved automatically when you click away. Feeds the Costs tab and this creator's totals elsewhere in Seed. Default: Editable **38. Status timeline** When the order was placed, approved, shipped, and delivered. **39. Other orders from this creator** Every other order matched to the same person by Instagram handle (or email), not a verified "this was a repeat of that gift" link, just everything else they've received. **40. Content posted** The creator's post, if one is on file, with view/like counts on the plans that include post tracking. If Seed found a matching post automatically but no link was ever submitted, this says so instead of showing a link. Choose a campaign, then how to send it: **41. Repeat their order now** Instantly creates the same $0 draft order again, using their saved products and address, no link, no waiting. **42. Send a DM (Instagram)** Queues a fresh gift link for the Seed DM Assistant browser extension to send from your Instagram account. Needs a handle on file. **43. Email an invite** Emails the creator a fresh gift link so they can pick their product and confirm their address again. If email isn't configured on your shop, Seed mints the link anyway and shows it to you to copy and send yourself. ## Costs tab How much gifting cost you in the selected date range, per-unit product cost (from Shopify's recorded cost, or your own default) plus shipping cost. Coupon-code spend isn't included. **44. Total product cost / Total shipping cost / Total spend** Three summary cards for the window. **45. Breakdown by campaign** One table per campaign: each product, units shipped, unit cost, and line total, with a totals row. > **Note:** If a product is missing a recorded cost, a warning banner tells you how many units are affected. The totals above are understated until you set a default cost in Settings or a cost on the product itself in Shopify. > **Tip:** A toast appears (_"N new creator posts found), see Results"_, when Seed finds a new post while you're on this page. It only fires once per batch of new posts. ## FAQ **Why is a request sitting in Pending instead of becoming an order right away?** Either your campaign requires your approval before an order is placed, or Seed flagged the request for review, for example a shipping address that already received a gift recently (a possible double order). Nothing ships until you approve it. **Can I edit a gift order after it's placed?** You can edit the shipping address and the product cost/shipping cost from the order's detail panel. To change products or quantities, edit the order directly in Shopify admin.
