# Replace Your Influencer Spreadsheet and Airtable

An alternative to spreadsheets for influencer gifting: every column of a gifting sheet, and which ones Seed fills in automatically on its Kanban board.

The alternative to a gifting spreadsheet is a gifting operations tool that fills the columns for you. With Seed, the creator picks the product and variant and types their own address, a real $0 Shopify draft order is created and tagged, and a Kanban board tracks status. Handle, size, address, order number and post link stop being things you type.

I run a DTC water-purifier brand doing about $2M a year, and our gifting sheet had the same columns every gifting sheet has. This post lists them, shows which become automatic fields, and says when you should keep the sheet.

## What every gifting spreadsheet ends up containing

Whether it lives in Google Sheets or Airtable, a gifting tracker converges on the same set of columns. Handle and platform. Product and size. Shipping address. Shopify order number. Tracking. Status. Post link. Notes.

Each column exists because somebody had to move a piece of information from one place to another. The creator told you their size in a DM, so you copy it in. The order was created in Shopify, so you copy the number out. The parcel shipped, so you paste the tracking. A spreadsheet is a record of copy-paste work, and the work is the cost.

That is also why it breaks. We have seen the same failures in any shared gifting sheet:

- Duplicate addresses, because two rows were made for the same creator with different spellings.
- The wrong size, because the creator said "medium" in a DM and the row recorded a guess.
- Stale tracking, because nobody updates the row after the carrier does.
- A status column that stopped matching reality two weeks ago.

If you want the DIY route, we cover it in [building a creator CRM in Shopify](https://www.seedinfluencers.com/blog/building-a-creator-crm-in-shopify) (tags and metafields), and the pipeline concept is in [building an influencer outreach dashboard that scales](https://www.seedinfluencers.com/blog/influencer-outreach-dashboard). I will not repeat how to build one here. This post is about not building one.

## Column by column: what Seed fills for you

| Spreadsheet column | Who fills it in the sheet | In Seed |
| --- | --- | --- |
| Creator handle | You, by hand | The creator's card is created when they submit your gift link |
| Product | You, from a DM | The creator picks it from images and live stock |
| Size, color, variant | You, from a DM (often guessed) | The creator picks the variant, so there is no guess |
| Shipping address | You, pasted from a DM | The creator types their own, which removes your typos |
| Shopify order number | You, after building the order | A real $0 draft order is created and sits in your Shopify admin |
| Campaign | A column you remember to fill | Tagged on the order by campaign |
| Tracking and delivery | You, when you check the carrier | Tracking lives on the Shopify order, and delivery status updates from Shopify delivery webhooks |
| Status | You, when you remember | A Kanban card that moves as the order and delivery events happen |
| Post link | You, after scrolling their profile | Content tracking finds posts on Instagram and TikTok |
| Approval | Not tracked | A human approves each gift before it becomes an order |
| Notes on fit, rate, tone | You | Still yours. This is judgment, and it should be. |

Read that table for what is not automated. Notes on whether a creator is a good fit stay with you. So does the original first message. Seed does not find creators for you, and it does not hold contracts or payouts.

## Contacted to shipped to posted: stages that move on their own

The useful part of a sheet is its status column. The painful part is keeping it true. A Kanban board does the same job with a different source of truth: the real order.

A creator submits your link, and a card appears. You approve the gift, and the Shopify draft order is created. The order ships, and the card reflects it. The parcel is delivered, and Shopify's delivery webhook tells Seed. A post goes up on Instagram or TikTok, and content tracking picks it up. Nobody opened the spreadsheet to say any of that.

The honest limit: the very first stage, "contacted", starts when you message someone. Seed knows about a creator once they use your link. Until then the first message is in your DMs, where it belongs. If you want to remember who you pinged and has not replied, that note is yours to keep.

After delivery, Seed can send creator emails: order placed, shipped, a delivery follow-up, a post reminder and a thank-you, each one a toggle. The what-happens-next detail is in [what happens after the gift ships](https://www.seedinfluencers.com/blog/what-happens-after-the-gift-ships). Nothing here sends DMs on your behalf.

## Moving 200 creators off the sheet

I will not claim a list import, because Seed does not advertise one. Creators enter Seed when they use your gift link. So the migration is practical rather than technical.

1. Freeze the sheet. Stop adding new rows to it from today.
2. Set up a campaign: the product pool you want creators to choose from, and the tags.
3. For creators already in the conversation, paste the link into the thread you are already having.
4. For past recipients, leave them in the sheet as history. You do not need them in the board to keep working.
5. Archive the sheet when the last open row closes.

Two hundred creators sounds like a project. In practice, only the ones you are still in contact with need the link. The rest are history, and history is fine in a sheet. For the people side of running at that size, see [how to scale influencer gifting without hiring](https://www.seedinfluencers.com/blog/how-to-scale-influencer-gifting-without-hiring) and [influencer gifting software for lean teams and interns](https://www.seedinfluencers.com/blog/influencer-gifting-software-for-lean-teams-and-interns).

If you want to know where the typing time goes first, [where the hours go in influencer marketing](https://www.seedinfluencers.com/blog/where-the-hours-go-in-influencer-marketing) has the step list.

## When a spreadsheet is still fine

Under about five gifts a month, keep the sheet. A DM and a hand-made draft order costs less than an hour, and a free tab is enough to remember who got what. The sheet only starts to hurt once a second person edits it, once you ship a duplicate gift, or once you stop opening it because the status column is wrong. Past that point the copy-paste is the cost.

## Who should not pick Seed

If you gift fewer than about five creators a month, do not buy anything. If you want creator discovery, contracts, affiliate payouts or paid-deal management in the same tool, Seed does not do them. GRIN and similar platforms are built for that, and they suit brands running hundreds of paid contracts with an influencer team. Modash is a discovery database, and it also offers Shopify-connected gifting now. If you track a lot of non-gifting data about creators (rates, usage rights, performance on paid posts), keep that in a sheet or a CRM, because Seed's board is about gifting status. Seed also has a small number of App Store reviews.

## What to do next

Seed is $79 a month on Starter (50 gift orders), $199 a month for unlimited, and $299 for Concierge, with a 7-day free trial. See [pricing](https://www.seedinfluencers.com/pricing) or the [Shopify App Store listing](https://apps.shopify.com/influencer-form). Run one campaign through the link before you retire the sheet. If the board matches reality after two weeks, close the sheet.

## Frequently asked questions

### What is the best alternative to a spreadsheet for influencer gifting?

A gifting operations tool that writes the data for you. With Seed, the creator types their own address and picks the product and variant, a real Shopify draft order is created, and a Kanban board tracks status, so most spreadsheet columns fill themselves.

### Can I manage 200 influencer relationships without a spreadsheet?

Yes. Each creator is a card on the Kanban board, each gift is a tagged Shopify order, and delivery status and post detection update from Shopify and content tracking. The finding and relationship work stays yours.

### Does Seed update creator status from contacted to shipped automatically?

Once a creator submits your gift link, the later stages (order placed, shipped, delivered, posted) follow from the Shopify order, Shopify delivery webhooks and content tracking. The earlier stage, when you first contact someone, still starts with you.

### When is a spreadsheet still fine?

Under about five gifts a month. A DM and a hand-made draft order cost under an hour, and a free sheet is enough to remember who you sent to.

### Can I import my existing creator list into Seed?

We do not claim a list import. Creators enter Seed when they use your gift link, so the practical migration is to send the link to the creators who matter and let the board fill as they respond.
